Client Profiles: Natural Persons
Overview
The Client Profile page is the central record for an individual or entity in the CRM. It stores the client’s core personal details, relationship links, employment and underwriting information, financial details, notes, and segmentation tags.
This page is used daily by advisors and administrators to manage client information, track annual reviews, link related parties, and segment clients for communication and reporting.
Client Summary Section (Top of Page)

At the top of the page, the client’s key details are displayed for quick reference.
- Name
- ID Number
- Nickname
- Occupation
- Employer
- Marital Status
- Most Recent Review Date
Annual Review Indicator
- The Most Recent Review Date is displayed prominently.
- If the review date is more than 12 months old, it will be marked in red.
- This red indicator highlights that the client’s annual review is overdue.
Logging a New Client Review
- Click on the Review Date displayed at the top of the profile.
- Enter the review details in the review capture screen.
- Save the review.
Once saved, the system automatically updates the client’s Most Recent Review Date.
CRM Profile and Financial Planning Toggle

Below the client summary section is a tool bar with a toggle on the left-hand side.
- CRM Profile – Displays the client’s personal and administrative information.
- Financial Planning – Opens the Financial Planning Toolkit.
Financial Planning Toolkit
When you click Financial Planning, you can capture and manage:
- Income
- Expenses
- Assets
- Liabilities
- Policies
- Investments
This area is used for conducting full financial planning analysis for the client.
Returning to the CRM Profile
Click CRM Profile to return to the client’s personal and administrative record.
Client Profile Tabs

The CRM Profile page is divided into the following tabs:
- Personal
- Contact
- Relationships

- Notes
Personal Tab
The Personal tab stores the client’s core identity information.
- Full Name
- Last Name
- Nationality
- Date of Birth
- Email Address
- Other key personal details
Contact Tab
The Contact tab contains the client’s communication and address details.
- Telephone Numbers
- Home Address
- Postal Address
Relationships Tab
The Relationships tab allows you to link clients and entities together within the system.
Linking Clients and Entities
- Link natural persons to other natural persons.
- Link juristic entities to natural persons.
- Create structured family trees (e.g., parents, siblings, children).
- Link employees to employers.
Linking Financial Planners

- Click Add New.
- Select a financial planner from the practice.
- Allocate a fee split.
- Add a comment describing the advisor’s role.
- Save.
This allows you to clearly define which advisor services which aspect of the client’s portfolio (e.g., medical aid, investments, short-term insurance).
Employment Tab
The Employment tab captures the client’s professional background.

The Underwriting tab captures health and lifestyle details relevant to risk products.

Financial Tab
The Financial tab is used to capture banking and basic financial information.
Banking Details
- You can load up to two sets of banking details per client.
- You can specify an Account Holder.
Example: If the client is a minor and their parent pays their premiums, you can capture the parent as the account holder and load the parent’s banking details.

Tidbits Tab
The Tidbits tab is used for conversational notes.
These are informal reminders that help you build stronger client relationships.
- Family updates (e.g., child finishing school)
- Hobbies
- Work milestones
- Personal interests
Reviewing these notes before meetings helps you reconnect meaningfully with your client.
Notes Tab
The Notes tab is used for more permanent or structural notes about the client.
General Notes
- Important profile-related information
- Context about how the client fits into a group or structure
- Key reminders that should remain on record
Tags
You can assign Tags to segment your client base.
- Employer groups
- Shared hobbies
- Common investments
- Any other grouping criteria
Tags can be used when:
- Sending bulk emails to specific client groups.
- Running reports and segmenting your client base.
Exclude Email Archiving Toggle
This is useful if, for example, you add yourself as a client. Without excluding email archiving, the system may automatically link all CRM-related emails to your personal client profile.
- Located within the Notes tab.
- When enabled, the client’s email address will not be used in the email ingestion workflow.
